toptips_ How To Put On An Event!

Planning a party? A festival? An exhibition? Follow our easy steps to grab a space and put on an event that will be the talk of the century!

1. Fix your date

Without one of these you really don’t have much to work with. Have a main date you want to go for but have two back up dates you’re ok to have just in case the initial one doesn’t pull through.

2. Book in the big stuff

After you’ve sorted your date you need your space! This is where somewhereto_ can always help you. Check out all the spaces we’ve already got here. But if they won’t do then you just need to get in touch with your Regional Development Coordinator and see if they can find you something ideal.

3. Think backwards

The thing about events is that it’s time locked. Everything leads up to that moment. So the easiest way to comprehend that is to think backwards. Get yourself a spreadsheet, diary, or a calendar and figure out the main elements you want done at which point. Give yourself some deadlines. If you’ve ever cooked a roast dinner you’ll know there’s always a mad dash when you try to get all the dishes out and hot at the same time. Events are exactly the same! Whether it’s the week, day, or hour before - you will have your mad dash. You want to  ensure as much as possible is organised before that mad dash.

4. Count your pennies

We find free spaces so that would save you a bit part of your budget if you went through us! (Jus’ sayin’). For everything else there’s Mastercard - no only kidding. On a serious note though. Get three quotes for everything. Shop around and negotiate best prices. If you’re doing something as a social enterprise or charitable then tell them and ask if they might do a discount. Worst they can say is no!

5. Turn to your gospel

Ok.. we’re not talking about a holy one this time but it might feel it when you need it. It can be a call sheet, a run sheet, a full throttle production pack. Have a folder that keeps all your receipts, invoices, schedules, important documents like insurance or risk assessments. Have a sheet of paper with important phone numbers of your team and contractors so that if you need to call them you (and all your team) have all the details they need when you’re at the venue.

6. Say thank you!

After the event make sure that the appropriate thank yous are said. Whether that’s an email to all the guests thanking them for their presence, to your team for their effort and most importantly, to your venue. This is a great way of building contacts and following up in case anything needs to be debriefed.

If you want to put on an event, an exhibition, a play, party….a festival, a tea party, a fundraiser or anything else AND you need the space. Get in touch with us here to see how we can help you find the space to do it!

Discoverables is somewhereto_ express yourself….

Back in the summer of 2011 when somewhereto_ just began, I was lucky to volunteer with the London regional team. That summer I got to refine my photography skills and travel all around London to parts I had never been to before and open up spaces like this. I knew right from the start that somewhereto_ would take over the country and literally they did with young people using 10 Downing Street and appearing in the Channel 4 ident. Both are so inspiring and I am so excited about the next phase somewhereto_ will now take!

My summer at somewhereto_ came to an end I had entered my last year of university. As well as getting stuck into my final year production and using this space to put on a multicultural festival. I also won a place on a pilot online coaching programme, run by youth aspirations charity Spark+Mettle. It was during this time that I learned about flourishing strengths and soft skills that can help people succeed both in work and in life.  You can say that I found somewhereto_ discover myself!  On the year long program I got involved in many projects but one of them has been the most life changing.

I found myself “accidently” becoming a co-founder and director of a very new exciting tech start up called “Discoverables”.  Last summer the Design Council and Nominet Trust launched the Working Well Challenge to tackle youth unemployment. With Spark + Mettle and Pixel Group UK we won this competition and got given 50k to create the site. I got thrown into a whole new world of tech starts ups and social enterprises and I love it!

DIscoverables takes a gamified approach that enables you to prove and improve the strengths and skills that can significantly increase well-being, success and fulfilment both in work and in life. Rather then simply saying you are self-motivated on you CV, you have to prove it by providing evidence through the missions and challenges on the site. This transfers things you are already doing in life into employer language. The more you do, the more you build your Discoverables profile, and the higher you go up in the rankings, becoming more discoverable to a pool of  forward-thinking employers.

Discoverables is now in Beta mode and has over 340 people registered and using the site! Discoverables is somewhereto_ express yourself (ok last pun!). Take our interactive survey, find out your top three strengths and start to build your profile and become Discoverable!

Arfah Farooq is co-founder of Discoverables and can be found @Arf_22

As an animator himself, James wanted a space to hold his own animation film festival, to provide workshops, industry talks and to screen films for anyone involved in or just interested in animation.

“This festival came out of a need to share the contacts we had made and mainly share our passion for animation, I think on both accounts we have achieved this.” - James

somewhereto_ was able to get him space at the Phoenix Digital Arts Centre in Leicester, the perfect place to hold such an exciting event!

“It’s really important to have festivals like this in the West Midlands, there isn’t a huge animation scene here yet. It’s great to get young people involved and allow them to use equipment they wouldn’t normally use. Hopefully they’ll get bitten by the animation bug and we’ll inspire the next generation of budding animators!” - Amy, animator & attendee
